The Role

The Executive Assistant provides sound senior-level administrative services and support to the Executive Leadership Team. The successful incumbent will be experienced in handling a wide range of administrative and executive support-related tasks and will be exceptionally well-organized, detail-oriented, flexible, and able to deal with competing priorities. They will have highly developed communication and customer service skills and possess tact and good judgment in handling highly confidential and sensitive information. Marketing experience at a marketing company is not needed but is considered an asset.

Responsibilities Can Include:

- Planning, prioritizing, managing, and following up with tasks on an ongoing basis and making sure they're completed within the necessary timelines.

- Writing and issuing emails to teams and departments on behalf of teams or senior staff.

- Update and maintain policies and procedures as needed.

- Prepares correspondence on behalf of the Executive Team. Requests vary and include a wide range of internal and external contacts.

- Maintains strict confidentiality with respect to the corporation and its individuals

- Maintain work schedules, calendars, and contacts of the Executive Team as needed.

- Organize and prepare for meetings, including gathering documents and taking detailed notes.

- Prepares and drafts minutes, and correspondence including memos, letters, reports, statistical summaries, and presentations.

- Prioritize emails and respond when necessary.

- Variety of administrative support as needed.

Knowledge and Skill Requirements:

- Career-driven, self-motivated, and focused on growing within a high-performing agency by bringing new ideas and strategies to the table.

- Impeccable organizational skills with strong attention to detail.

- Ability to prioritize tasks in a fast-paced environment in order to meet deadlines.

- Superior time management skills working with a high degree of independence, utilizing tact and good judgment in the communication and processing of information to support the Executive Team.

- Flexible and willing to adapt to change.

- Ability to work independently with little supervision and also as a member of a team.

- Minimum of 2 years progressive administrative experience. Experience supporting the Operations function is an asset.

- Experience and high level of proficiency using a variety of software packages, including all elements within Google Workspace.

- Excellent oral and written English communication skills.

- Excellent customer service skills to respond to inquiries from a variety of internal and external stakeholders and from individuals of diverse backgrounds.

- Ability to manage highly confidential and sensitive information concerning, but not limited to, employee and labor relations and sensitive political and internal issues in a timely manner.

- Familiarity with ClickUp is a bonus.
